Sample Trip Itinerary (for someone who's never led a trip before)

Thursday Oct. 9

PRE-EVENT-

Google Map the Trip.

Call Pizza Order in

Prep Koolaid/Water, plates, cups, napkins, etc.

Buy Breakfast

 

Leaders be at church BY 4:45pm

5:00pm Students meet at church 

             Pizza is delivered.  Eat in the Youth Center

             Get shuttles down by the youth center

             Registration table- Take money, Make sure everyone has a signed form

                        Total cost: 100 (includes meals, not snacks)

            Have students put luggage in the Youth Center 

5:30p   Go over Rules for the trip-  

Pink & Blue seating, no purple 

They can walk around in groups, but no one goes off alone. 

They MUST respect the Adult Youth Leaders.  

 

7:00pm Concert Café- Featuring “Pierced Hands”

Pray for safety

Have students go to the bathroom and then have students load into shuttles

            Put money in safe to deposit.  Take the forms with you to Youth Convention.

            Leave as soon to 5:45pm as you can.

            Take Barbur to I-5 south (mapquest)

 

At Event-

            Park 

            Go register the group inside

            Go in main doors, tell them what church you’re with and how many you brought.  

            Remind students NOT to lose the wrist band.

            Are you sitting together as a group? (in sanctuary)

            Meet back at the main entrance after service and get a head count before leaving

            Late night snack?

            Return to PCC

Late Night Activity- Explain Rules, Boundaries, etc.

 

Lights out time?
Sleeping Locations- Girls in Youth Center; Guys in Fireside Room

                                                

Friday 10th

Breakfast served -8:15am (have it ready in the fellowship hall)

Load Shuttles and Leave PCC by 8:45 am 

General Session starts at 9:30am

            Tell students that they can walk around in groups, no one goes off alone. 

We will meet back at the shuttles after session two at 12:30p

FREE TIME- 12:30p-7:00p

BAD Weather FREE TIME-  Meal, Mall, Another Mall, Meal, Church

GOOD Weather- Meal, Enchanted Forest, Possibly Mall, Meal, Church

Make sure to specify meeting times for every activity. Ex: “You have 1 hour.”

            Get a count of the shuttles before you leave each location

 

General Session 8pm-10pm (est.)

Return to PCC by 11:00pm 

Late Night Activity- Explain Rules, Boundaries, etc.

 

            In Rooms @ 12:00am

            Lights out 12:30am

 

Saturday 11th

Breakfast served -8:15am (have it ready in the fellowship hall)

Everyone pack their bags and put them in the Youth Center before we go. Each sleeping location must be totally clean before

            Leave PCC- 8:45 am (everyone clean up breakfast)

            

General Session starts at 10am

We will meet back at shuttles when convention is over. 

General Session ends @ 12:15pm

Head Count. 

Eat MEAL (needs to go quickly 30min.) Leave restaurant by 1:00pm. Drive back to PCC, be there before 2:00pm

 

YL Responsibilities:

James- Call pizza place, prep dinner needs, prep Registration Table

Registration Table, Organize Dinner Clean up.

Joe & Carissa- set out Breakfast each morning/ put away and direct clean up

Mary- Registration Table, Hang onto YC Forms till registration; Get a Head count BEFORE we leave each location.

Tim & Duffy- Secure the Cash box and hand out money for each meal.

Pastor- Direct Late night Activities

 

 

To make late night activites a success:

Youth Leaders need to participate in and cheerlead activities.  Otherwise they will seem lame.

 

Focuses:

YL’s need to make Connecting with students their top priority for the weekend.  Make sure students are eating and taking care of themselves make sure students are ready to go by the time they need to be ready. 

 

Helpful things for our YL’s:

Hand out Event Schedules

Keep them fully aware of our activites

Make them aware of the Youth Leaders green room at YC.
